From the Vault: Desk Phone Directory

Last week, Technology Services sent out a form requesting feedback on the current phone system so we know which features are important and which features frustrate our staff as we research new phone systems. In that feedback, many staff responded that they don't like having to scroll through every extension in the phone directory to find the one they want to call.

Well, Good News!! You don't actually have to do that!

Follow the instructions below to use the Directory more efficiently to find any extension:

  • Press "Directory"
  • Press the number buttons that correspond to the spelling of the room or person's name. For example, to dial "Smith" press the numbers 7-6-4-8-4 because those are the numbers that correspond with the spelling of "Smith".
  • The phone display will show the extensions that include the letters / numbers that you've entered.
  • Once the list shows the person's name that you want to call, arrow down to it or keep pressing the numbers until their whole name is highlighted.
  • Press "Dial" or lift the handset to initiate the call.

Please note: not all users have the exact model phone that is shown above but all district phones have a Directory button.

  • In order for the Directory to work correctly, your classroom/office phone has to display your name and extension number, although the configuration of names on phones in shared offices is a bit different.
    • If the display does not show your name, open a support ticket to request that your phone display be updated.
    • If you can't access the voicemail system, also ask that the voicemail passcode be reset. You will be prompted to change it when you log in the first time.
       
  • It's always good practice to call your extension and let it go to voicemail periodically to make sure that your name and greeting are still correct. If not, you'll need to record your name and a new greeting in the voicemail system once you can access it.  View the tipsheet showing how to get to voicemail and find the place to record your name and greeting. Remember that BOTH are needed... a recording of your name and a greeting.
